Quick reference for dispatchers — what the equipment is and what to ask the customer. From the Omega Air dispatcher training guide.

CENTRAL AC

One outdoor unit cools the whole home through air ducts and vents. Indoor part is usually a furnace + evaporator coil.

Ask the customer
  • Central system or mini-split?
  • Is the outdoor unit running?
  • Air from vents: cold, warm, or none?
  • Error on the thermostat?
  • When was the filter last replaced?

HEAT PUMP

Both cools and heats the home. Key option for electrification and rebate programs.

Ask the customer
  • Problem with cooling or heating?
  • Does the system turn on at all?
  • Gas furnace or electric heat pump?
  • Error code on the thermostat?

MINI-SPLIT

Ductless: one outdoor unit + one or more indoor wall-mounted heads.

Ask the customer
  • How many rooms need cooling?
  • Square footage?
  • Already installed or new installation?
  • Where can the outdoor unit go?

FURNACE

Heats air and pushes it through ductwork. In San Diego usually gas. Gas smell → customer must NOT wait: turn system off, call the gas company / 911.

Ask the customer
  • Does the furnace turn on?
  • Any heat? Any flame?
  • Any gas smell?

AIR HANDLER

Indoor blower cabinet that moves air through the ducts. Usually paired with a heat pump. Not an outdoor AC unit by itself.

Simple explanation
  • "It's the fan box that pushes air around the house."

PHOTOS TO REQUEST

Always ask the customer to text/email photos and attach them to the job in Jobber:

  • Outdoor unit + indoor unit
  • Thermostat (with error code if any)
  • Model / serial label
  • Installation area
  • Electrical panel (for installs)
